Notes, intake forms and a calendar that stays private
Your session notes are the most sensitive thing your business holds. They should not be sitting on a scheduling company’s server, indexed against a client account you do not control.
Records where they belong
Full SOAP notes. Subjective, objective, assessment and plan on every session, attached to the client and carried forward. ICD-10 and CPT fields when you bill or refer.
PHOTO STORAGE: SOAP photos are stored with your Book Visit Now records and sync through your private iCloud database when enabled. Terminus Finalis does not receive or host them. If you export a note or share its PDF, the selected destination receives the photos included in that document.
Intake forms scanned with your camera. Point, scan, and the form is a PDF filed with the client, named and numbered automatically. History, consent, anything on paper.
Photographs when you need them: In Before and After columns, encrypted in your own iCloud.
A PDF of a client’s full history: SOAP notes are saved with the client so you can refer to earlier records at later visits. They are separate from the appointment’s own notes.
Smart Summary: Smart Summary drafts an assessment from your Subjective and Objective text using Apple’s on-device model. The text is not sent to an external AI service for summarization. Review the draft before saving or using it. Availability depends on the device, operating system, and Apple Intelligence support.
Where the records actually live
Your client and treatment records are stored on your Apple devices and synchronize through your private iCloud database when enabled. Scanned intake documents use your iCloud Documents storage when available, with a local fallback.
When you select an Apple Contact as a client, Book Visit Now copies the relevant contact details into its own client record. Apple Contacts remains separate and does not contain your complete appointment or treatment history.
Terminus Finalis does not receive or host your client database through normal use of Book Visit Now. If you export treatment records or send information for support, the recipient receives the information you choose to share.
Please note plainly: Book Visit Now makes no HIPAA or equivalent compliance claim. It is a general business scheduling and client-management app, not a healthcare product. If you are subject to a regulatory regime, that assessment is yours to make; we would rather tell you that than let you assume.
The scheduling part
Day, week and month views with your real working hours.
- CONFLICT CHECKING: Book Visit Now warns when a proposed appointment conflicts with another appointment or time off. You can review alternatives and, where the app allows it, choose to proceed with an intentional conflict. Booking still depends on required setup, available client capacity, and a successful save.
- TIME OFF: Block full days, part days, breaks, or a run of dates. Time off participates in conflict checking. Add a reason and choose whether that reason appears on your calendar.
- MONTH VIEW: Month view shows appointment summaries, capacity indicators, and event markers. Busy dates can show an overflow count; open the date to review the full schedule.
- APPLE CALENDAR: With Calendar permission, Book Visit Now can save supported appointment information to Apple Calendar. Calendar events supplement your Book Visit Now schedule; they do not replace its full appointment history. Availability on other devices depends on the calendar account and sync settings used.
Repeat appointments for clients on a treatment plan. Text and email reminders that send from you, after you have read them. Per-client pricing for package holders or long-standing clients. PDF Invoices that you can print or sent to clients.
