How to Switch Salon Software Without Losing Your Records
A software change affects more than your client list. Plan for future appointments, treatment records, financial history, and the way clients contact you before closing your old account.
Check what you use today
List the features your business depends on: online booking, reminders, payments, deposits, forms, memberships, staff access, and reporting. Book Visit Now provides appointment management on iPhone, iPad, and Mac, but does not replace client online booking, payment processing, automated reminders, or separate staff logins.
Export before you cancel
Save the client, appointment, service, product, treatment, and financial records you need while your old account is accessible. Check date ranges, record counts, attachments, future bookings, deposits, and outstanding obligations. Open the files and make sure you can use them. Retain secure copies of the originals.
Bring contact details into Apple Contacts
Where your export format allows it, import the relevant names, phone numbers, email addresses, and postal addresses into Apple Contacts. Check a small sample first and resolve duplicates carefully.
Importing contacts does not import appointment history, notes, photos, payments, or financial records into Book Visit Now. When you choose an Apple Contact as a Book Visit Now client, the relevant contact details are copied into a Book Visit Now record stored locally and synced through your private iCloud database when enabled.
Set up your Book Visit Now business
Add company information, a provider, a location, and your services. Review prices, costs, taxes, and message templates. Follow the Initial Setup guide for the step-by-step workflow.
Recreate and verify future appointments
Compare your old schedule with Book Visit Now date by date. Check the client, provider, location, time, duration, and booked services. A recurring series needs particular care. Do not assume an Apple Calendar event recreates the complete Book Visit Now appointment record.
Tell clients how to book
If you are moving away from online self-booking, explain that clients should contact you directly. Update your website, social profiles, business listings, and printed booking instructions. Tell clients how to change or cancel appointments and where confirmations will come from.
Handle payments and balances separately
Book Visit Now does not move deposits, stored cards, memberships, package balances, or merchant accounts. Reconcile those obligations with your existing provider and keep the supporting records.
Close the old account after checking the move
Confirm your cancellation terms and retain the required records before ending access. Compare a sample of client details and every upcoming appointment. Keep a secure backup of your original exports.
Your old business history and your new appointment workflow deserve separate checks. A successful contact import is only the beginning.
